  1. Introduction

This Privacy Policy is for past pupils (alumni) of integrated schools in Northern Ireland, friends and supporters (including donors, funders etc.). It describes how we collect, store, use and retain your personal data. It also describes how you can change the data we hold and the ways in which your data is used. Integrated AlumNI is registered with the Northern Ireland Charity Commission, registered charity number NIC 106805.

The Data Controller for Integrated AlumNI is the Secretary of the Board of Trustees. With the Data Controller’s permission, local group secretaries store information regarding contact details for members and supporters on a secure database.

  1. Where is your data stored?

Integrated AlumNI stores data on a MailChimp database. Access to your data is strictly limited to those who have a requirement to maintain a relationship with you on behalf of the Integrated AlumNI. All members who have access are trained in the requirements of the Data Protection Act 1998 and General Data Protection Regulation.

  1. How do we collect data about you?

The data that Integrated AlumNI holds about you is collected directly from you during interactions with you, including:

  • through our website Get Involved and Sign Up to Our Mailing List functions;

  • from registration for Integrated AlumNI events via the website;

  • as the result of conversations and phone calls with Integrated AlumNI representatives during events, activities and campaigns;

  • through our sign ups via social media including Twitter, LinkedIn and Facebook which are linked to our MailChimp database;

  • other online information in the public domain, for example a news story about you and,

  • publications and printed news.

  1. Why do we collect data about you?

We collect your data to keep in touch with you about the activity of the Integrated AlumNI, including:

  • keep you informed about opportunities to become involved in Integrated AlumNI;

  • invite you to our events and those organised by other organisations about integrated education;

  • seek your views, ideas and support on matters relating to integrated education;

  • update you on developments in relation to integrated education; and

tell you about programmes and events that may be of interest to you.

We will never contact you for reasons which are not aligned with our aims:

  1. What data do we hold?

If you are a past pupil of an integrated school in Northern Ireland and signed up as a member, we will ask for the following information:

  • Your name

  • The name of the integrated school/s you attended

  • Where you are based now

  • Your email address

We may hold other data about you that you have provided to us, which may include some orall of the following:

  • Your mobile phone number

  • Place of and subject of study

  • Career/profession

  • If you have access to a car

  • Bank account details (for the payment or reimbursement of travel and other expenses)

  • Position/job title

  1. Who will we share your data with?

Your personal data is shared with third party organisations in only a very limited number of cases.

For example, we may share some of your data with third party organisations who are carrying out a contract on behalf of Integrated AlumNI or with whom we are working in partnership on an event or activity designed to support and promote integrated education.

We will only share information about you that is relevant and no more than is required for the purpose.

The data that we hold about you will not be sold to a third party under any circumstances.

We will only share your data with an organisation in the following circumstances:

  • to communicate with you about an event or activity that we are jointly planning;

  • to maintain your contact details so that we can keep in touch by email or phone; or

  • to process a payment to you

We use protections such as encryption whenever your information is shared.

  1. How long do we retain your data?

Integrated AlumNI hopes that you will be willing to have a lifelong relationship with us. We will maintain a record of you in our database until such time as you tell us that you no longer wish us to maintain contact with you. In this instance, we will remove your personal data from our records unless there is a justifiable reason for maintaining some or all of it. For example, if there are outstanding payments owed.

  1. How can you control the way in which we use your data?

You can contact us by any of the following means to let us know how and why you want to hear from us, or if you no longer want to hear from us at all:

  1. What should you do if you wish to make a complaint about the way in which your data is being gathered, stored or used?

If you have a concern or wish to make a complaint about the way in which we gather, store or use your data, you have the right to raise this with the Information Commissioner’s Officer. You can do this by phoning their helpline on 0303 123 1113.
